Context & Problem

Vredestein regularly runs incentive campaigns to activate its professional network, especially workshops and resellers. These campaigns are highly effective — but only when participation is easy and results are measurable.

Before the platform, campaign execution relied on fragmented processes: manual registrations, unclear requirements, invoice handling outside the system, and limited visibility into real performance. This created friction for workshops and made campaign control complex for the brand.

The challenge was to design a scalable, fraud-controlled incentive system that could be reused across markets and campaign types.

Objective

Create a centralized incentive platform where:

  • Workshops can easily join campaigns, submit invoices, and track rewards
  • Vredestein can validate participation, prevent fraud, and monitor performance in real time
  • Campaign logic can support volume-based incentives (e.g. sell +500 tyres → earn reward)
  • The same system can be reused for B2C campaigns if needed

Solution Overview

The platform is structured around three key pillars:

Public campaign pages

Clear explanation of campaign mechanics, eligible products, rewards, and deadlines, with a direct CTA to participate.

Workshop portal

A private space where workshops can access campaigns, upload invoices, track validation status, and maintain participation history.

Control & reporting layer

A dedicated reporting environment for the brand to monitor adoption, budget usage, and campaign effectiveness.

Campaign Logic

Campaigns are designed around performance thresholds, such as:

  • Sell a defined number of tyres or products
  • Reach volume milestones during a campaign period
  • Submit valid invoices as proof of achievement

Rewards supported:

  • Gift cards
  • Cashback
  • Fuel cards

All submissions go through manual validation by a specialized fraud-prevention team to ensure authenticity and protect campaign budgets.

Access & Onboarding

The platform prioritizes fast access and low friction for workshops. A simple login allows returning users to immediately resume participation without repeating onboarding steps.

Campaign Dashboard

Once logged in, users land on a campaign overview dashboard displaying:

  • Active, upcoming, and finished campaigns
  • Campaign status labels
  • Clear CTAs to participate or review submissions
  • Progress indicators where applicable

This turns the platform into a persistent incentive hub rather than a one-off campaign tool.

Submissions & Validation Tracking

Transparency is critical in incentive programs. The "My registrations" section allows workshops to track every submission with:

  • Date of submission
  • Associated campaign
  • Reward type and value
  • Validation status (Validated / Pending / Rejected)

This reduces uncertainty, prevents duplicate submissions, and significantly lowers support requests.

Reporting & Performance Monitoring

For Vredestein, the platform provides a real-time overview of campaign performance through a comprehensive reporting dashboard.

Key insights include:

  • Total workshop participation
  • Validated vs rejected submissions
  • Participation trends over time
  • Budget consumption rate
  • Distribution by product model and tyre size
  • Top-performing workshops

Reports can be exported to support internal analysis and campaign optimization.

Results

The platform delivered strong adoption and measurable business impact:

  • +500 workshops actively participated in campaigns
  • 90% of the total campaign budget was successfully allocated
  • +30% participation over initial forecasts
  • Significant reduction in manual campaign management time
  • Improved fraud detection thanks to structured invoice validation
  • Increased workshop engagement and loyalty to the brand

Takeaway

This project transformed incentive campaigns from isolated promotions into a scalable activation system. By combining clear campaign logic, transparent validation, and real-time reporting, the platform enables Vredestein to activate its network efficiently while maintaining full control over budget and fraud risk.
